OBJECTIVES/PURPOSE

The core purpose of the Project Management and Governance Lead is to:

  • Performance Measurement & Governance: Develop and implement performance metrics and tracking mechanisms to drive the effectiveness of transformation initiatives, providing regular report-outs to senior leadership. Prepare and facilitate governance reviews with senior leadership.
  • Project and Portfolio Management Process Improvement: Stay up to date with industry trends, emerging technologies, and best practices in transformation management. Identify opportunities for process improvement. Work closely with stakeholders to mature BioLife’s project and portfolio management systems, processes, tools, and skill-level.  
  • Mentor: Mentor colleagues and project teams by providing guidance, support, and coaching to foster a high-performance project execution culture. Support and enable Project Sponsors and Project Managers to successfully execute projects essential to delivering BioLife’s strategy. Foster strong relationships with key stakeholders, including executive leadership and cross-functional teams, to gain support and ensure alignment for transformation projects.
  • Strategy Execution: Contribute to the development and execution of BioLife’s Transformation strategy, aligning it with the business’s objectives and goals.

ACCOUNTABILITIES

  • Support and Enable Project Sponsors and Project Managers to successfully deliver BioLife’s strategic projects.
  • Evolve and improve the project lifecycle and governance processes to provide transparency, control, and good decision making while maximizing project velocity.
  • Help define and maintain a roadmap of project and portfolio management capabilities based on voice of customer feedback, BioLife/PDT (Plasma Derived Therapies) needs, and industry best practices.
  • Execute the roadmap by developing, implementing, and continuously improving effective project management, project lifecycle, portfolio management, and governance processes and deliverables.
  • Develop, acquire, or modify tools to monitor, analyze, and improve the portfolio.
  • Prepare project and portfolio analysis and insights for review by senior leadership.
  • Work directly with Project and Program managers to ensure data and reporting are consistent, standardized, meaningful, and of high quality. Develop and implement portfolio metrics and insights that surface key risks and decisions to the most senior leadership in BioLife.
  • Work with project and program teams to analyze risks and develop options and recommendations to resolve them.
  • Develop and execute the communication plan for the Transformation Management Office.

Interaction

  • Collaborates with BioLife Leadership Team, Project Sponsors, Project Managers, and project teams on BioLife’s strategic projects.
  • Engages internally with senior level, mid level, and functional leaders across functional groups, including Engineering, IT, Finance, Quality, Plasma Collection Centers, and Labs to establish the standard processes, systems, and tools
  • Performs stakeholder analyses to understand barriers to change; identifies risks and implements mitigation plans. Manages and executes communication plan to all stakeholder groups
  • Engages with other portfolios in Takeda to optimize available tools (e.g., SPOT) and identify best practices which BioLife can leverage.
  • Has a reputation for delivery that reinforces the required sense of urgency.

EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS:

  • Minimum of a four year Bachelors Degree, preferably in engineering, business, or life sciences (or equivalent experience).
  • 8+ years in healthcare/medical or multi-unit retail related capacity.
  • Master’s Degree in a technical discipline and/or MBA is a plus.
  • Minimum 6+ years Project Management experience including 2+ years of Portfolio Management experience, and 4+ years in operations.
  • Past history of successful project management, continuous improvement management and/or leadership experience is highly desirable.

ADDITIONAL INFORMATION

Core Competencies /Skills

  • Outstanding communication and presentation skills including the ability to interact with all levels of management including the most senior leaders in Biolife. Must be able to tailor communications to deliver the same content to vastly different audiences. Must be excellent with MS PowerPoint.
  • Demonstrated ability to influence and engage stakeholders at all levels of the organization. Strong understanding of change management principles and methodologies.
  • Proven ability to make meaningful contributions with a minimum of “spin up” time. Must be able to directly link, and articulate to others, portfolio management capability to strategy. Functions well under pressure in a changing environment. Uses independent judgment to identify, plan, prioritize, and organize diversified workload as required.
  • Analytical and problem-solving abilities, with a data-driven approach to decision-making. Must be able to both perform and consume analysis with Excel (VBA experience a plus). Experience with enterprise PPM software a plus. Experience developing and editing Power BI reports a plus.
